Policy

  1. All communication materials, including corporate website, advertising in all mediums, print pieces, social media channels, and communications must adhere to the Lambton College Brand Guide.
  2. All college advertising, domestic, international, or otherwise, must be directed through the Marketing, Communications and Recruitment department.
  3. Publishing of College communication material must include the approved logo in adherence to the Brand Guide. Any deviation from these standards must be approved by the Associate Director, Marketing & Recruitment or their designate.

Appendix A

Advertising & Information Materials Procedures

  1. Departments across the college must request marketing services, including advertising needs, via the Jira request form on mylambton.ca.
  2. Departments should include as many details as possible in the form including budget, timeline, content, medium, specific graphic requests, and intended target audience.
  3. The form will be assigned to a coordinator and, if necessary, reviewed with the Associate Director, Marketing & Recruitment.
  4. The Coordinator will:
    1. Follow up with the departments who made the request to clarify and confirm details.
    2. Action the request with necessary marketing team members, as appropriate.
    3. Follow up with the department and/or their manager for revisions/finals approvals.
    4. Action the request with the appropriate vendor.
    5. Provide follow up metrics to the department, if available.
    6. Receive the invoice and ensure it is forwarded to the department for payment processing.

Appendix B

Posting Policy for Campus Notice Boards

These guidelines are intended to support a clean, professional, and welcoming campus environment, while ensuring effective communication across the College.

Designated Posting Areas

  1. All posters, signs, and notices must be displayed only on designated cork boards.
  2. Posting on walls, windows, doors, columns, or any other non-approved surfaces is strictly prohibited.
  3. Any department or individual who posts on unauthorized surfaces will be responsible for the cost of repairs due to damage caused by adhesives or other materials.

Poster Content & Design

  1. All posted materials must align with the Lambton College Brand Guide.
    1. If support is needed to ensure alignment with the Lambton College brand, please reach out to the Marketing Team via Jira early in the planning process. The team is available to provide guidance to help ensure consistency with institutional standards.
  2. Posters must be appropriate for a college environment. Any material deemed offensive, discriminatory, or otherwise inappropriate will be removed immediately.
  3. Posters must be approved by a department supervisor or manager prior to posting.

Posting Responsibility

  1. Individuals or departments posting materials are responsible for securely attaching them using push pins only.
  2. The use of staples, tape, glue, or other adhesives is not permitted and may result in removal and charges for damage.

Poster Duration & Removal

  1. All posters must include a clear posting date.
  2. Materials without dates or with expired dates will be removed by Facilities Management.
  3. Outdated, damaged, or unauthorized posters may be removed at any time without notice.

Board Maintenance

  1. Facilities Management will inspect and clear cork boards on a bi-monthly basis.
  2. While Facilities Management oversees board maintenance, they are not responsible for the design, accuracy, or appropriateness of posted materials.

Size & Space Guidelines

  1. Posters should not exceed 11” x 17” to allow equitable space for all users.
  2. Oversized posters may be removed if space is limited.
  3. Posters must not overlap or cover other materials.

Authorized Use Only

  1. Cork boards are intended for promoting Lambton College events and initiatives only.
  2. Materials advertising external events or businesses will be removed
